This is why I tell everyone at work that if they are planning something with food or field trips, to tell me ahead at time and not the day of the event. I like to prepare things and ready for anything! And this is why I also sent them a master list with the names of students that have illnesses so they knew who has what and what they can do.

Under FERPA we can't send out a master list to all the staff listing all of the student's medical conditions. That type of info is on a need to know basis. I am able to flag students in the teacher's grade and attendance program and leave a note as to what their affliction is and the teachers can then do what they need to with it. The only exceptions that I grant to sending out a list is the cafeteria manager - who does not have access to that program but since she sells the food to all of the students, should be aware of allergies, and the admins - who probably could run the report themselves.
