horrible immunization compliance rate

my immunization reporting is due for 6th graders on Nov 15th (not sure if states differ on this). My compliance rate is about 65%.

It's my first year as a school nurse at a very small school. both the feeder school's nurse and the nurse who used to hold my position quit at the end of last year, so there was apparently no messaging on vax schedules to parents whose kids were leaving the 5th grade school and entering 6th grade at my school. I was hired just as school started (and I've never been a school RN before), so it took me a couple weeks to get my bearings, and first referrals went out the first week in September. Second referral went out October, followed up with at least one phone call. Most parents have received 2 email referrals and 2 phone calls regarding the missing documentation. I'm about to make another round of phone calls tomorrow...

At the beginning of my outreach efforts only 11% of students had their documentation in, so obviously I've made some headway, but it's crunch time and I'm not quite sure what to do with this large group of parents who are simply not responding.

The point is, I'm really nervous to report these low numbers because I'm worried I may trigger an investigation from the State and they will think "What the heck is going on over at that school!?" Next year, I will put some things in place to prevent this from happening again, but at this point... what should I do? has something like this happened to anyone else?

This school is not regulated by a district, but I plan to look into writing a policy if our parent company/school doesn't have one (I doubt it).

Next year our plan is to require the immunization reports along with tuition payment/registration, as well as streamlined messaging from the nurse at our feeder 5th grade.

Are you regulated by state law? Our state requires noncompliant students to be excluded. We didn't even give out schedules if they didn't have their immis. Some who slipped by and came to class the first day were called out of class and sent home. Yeah parents were mad, but it was their own fault.

this is a good idea. my principal did back me up by sending a strongly worded email (your child may be removed by the dept of health after Nov 15), but I don't think we were strong enough from the onset. of my 52 students, 11 of them have appointments scheduled for AFTER the reporting date. so annoying.

Does your health department give free immunizations? That's where we send students so there is no excuse of having to wait for an appointment.

I am required to follow up two times RE this late vax appt and then the student will be removed from school. That is from the dept of health statutes regulating school immunization reporting, compliance and non compliance. So that is what I will do.

Next year I don't want to spend so much time on this; I'd like to enact a school policy that these documents must be complete and filed in health office much sooner (this has been such a time suck). I work at a private school (not part of a district), and the principals tell me there isn't a policy in place and that this hasn't been an issue in the past. To be totally honest, I think the previous nurse was fudging the report numbers because all the files are a mess and many kids are missing immunizations or even entire records. Yet somehow, she was reporting 95-100% compliance.

Does you state have an immunization database you can access or get access to? When I finally got that, it made my job SO much easier! Still tracking down stuff that isn't reported into the database, but still reduced calls home and to doctor's offices by a huge amount.

yes, my state does have a database and I was able to access it. However, the issue is that the students never got the 11 y/o immunizations to begin with. So now parents are all rushing to get them in at the last minute (although I sent out my first referrals in the first week of Sept), and aren't finding available appts until after the reporting is due. ugh :(

As a nurse who works at a local health department and often sees these kiddos with letters from their school nurses for immunization compliance... THANK YOU for all the amazing work you do to help keep your school populations safe from vaccine preventable diseases. You rock!
