Need some help! I am the brand new district RN for a school district in Texas and was given NO information about anything. The previous nurse was here for 30 years. I was recently asked about reporting immunizations to the state. Of course no one knows how the previous nurse did this! Any information about how to report immunizations/when/where would be helpful!

I am in Ohio and we report our using an online tool through the Department of Health. Not sure if that is how it goes down in TX but you could start there! You may also find contact information for School nurse Consultants, which may be able to give you some good info! Does your state offer a School Nurse orientation?

Texas uses IMMTRAC.. I am a school nurse for Houston ISD and our Health Manager sent names for all of us nurses to the IMMTRAC so we could have our own log ins. We do not report anything to the health department (under my knowledge, I am a new school nurse however).

Usually the Texas Department of State Health Services Immunization Branch will send out an information packet in the fall to public schools in Texas. The information will give a "snapshot" date and ask you to report the immunization status of Pre-K, Kindergarten and 7th grade students in the district, as well as total school enrollment and number of conscientious exemptions on file in your school. The letter should provide you with the website this information needs to be entered into. In the spring, you will enter your results from vision/hearing/spinal screenings on this website, as well.

Texas may be doing things differently this year, though. I haven't yet received this immunization information packet and I usually receive it in early September. The "snapshot" date is usually sometime in October with the information needing to be submitted to the state by December. We are a small district and our yearly letter is usually addressed to the Administration Office and they then forward it to me (I'm the only nurse for our district) to complete and submit.

You might be able to find some more information through the Texas Department of State Health Services website (probably within the Immunization Branch section.) Find the representative over your school region and give them a call or an email. They should be able to point you in the right direction.

Always keep a copy of any reports you submit to the state for yourself.

I'm located in East Texas, so I'm not 100% sure this is applicable state-wide or just in my region. I always assumed it was state-wide.

Sorry if I've made things more confusing than helpful!!!

ImmTrac is not used for this purpose. I do not do annual reporting for my school - my district nurse does it for our district as a whole. Perhaps this is the case in your district as well?

The snapshot date is October 31 but the report doesn't go out until later in the year. PM me your contact information and I'll fill you in.
