Trying to Change Schools Policy on Yearly Orders and Physicals

Currently my school has rolling acceptance for physicals and medication orders. They are all good for a year no matter when they were written. For and example if an order was written in March it's good until next March. So we have orders and physicals expiring all the time. We are a special needs school and the administration thinks this is easier for parents. I think this is a horrible system. I have suggested changing it to what everyone else does. Which is of coorifice having new orders and physicals due at the beginning of every year. The have asked me to write a proposal outlining why it's better then what we and how we would transition. So I am looking for help with references or materials that might help me make my case. Any help would be appreciated.

Our policy is that all medication orders expire at "the end of the school year" unless otherwise stated. I have it printed right on my standard form along with a handy dandy check box that says "Order is valid for School year" or something to that effect. I have the other basic rules of meds printed on there too (no student transport, pick up at end of year or subject to disposal, orders necessary for otcs and rx meds, etc)

I verbally tell them that the order will need to be resubmitted in September if needed next school year and send letters towards the end of the school year to with crisp new order sheets and reminders to pick up their old meds.

If i get new orders mid year, they still expire at the end of the school year, which, by the way, i don't necessarily assign a date to as it sometimes changes. Also, if a student elects to do a summer school program, I consider their regular school year order valid. It's rare that I have to medicate a student during, but prns like diastat and inhalers have been part of my medex in the past.

i thought about that until i thought about ESY and the need to keep the diastat handy for my student that liked to have 20 minute long seizures. The verdict was nope.

Mine is similar to Flare. All medication orders are good for the current school year only. At the end of each year I send home new forms to each parent that I have current ones on file for and remind them that they will need to be redone for the following school year. The only thing I do accept on a rolling basis are yearly physicals. They are good for a year so if you hand me one in January I am not bugging you for another copy in September.
