The laws about this vary from state to state.

Generally speaking though the requirement for an appointment is in order.

You will be required to view it in the presence of a HR person. That is you can't take it to view alone.

Depending on YOUR STATE's LAWs you might be able to get certain things removed.

Depending on YOUR STATE's Laws you might or might not be able to have a statement by you or someone else placed in the file that refutes or explains negative information.

Your HR person should be able to tell you what can and cannot legally be done.

I was able to do this, and allowed to photocopy anything I wanted. There was an observer there so no material could be "stolen" by me. I think I did make an appointment. Long time ago. You probably need to pass this by your lawyer too.

You have to make an appt to ensure that someone will be available to watch you go over it. If you have any problems with it, it has to be brought up with whoever put it in there. You can photocopy anything that is put in there. However, things can also be added after you've looked at it or conveniently taken out before you look at. I used to work HR and some of the supervisors would do that. Not legal, though.

It is your right though, to look, make copies and dispute anything in there.

You know what I would do? I would ask to photocopy everything in that folder, then have the person with me initial each and every page at the corner, and on the first page have her sign and print her full name, along with yours, the date, and 'I verify that as of this date, there are a total of ____ pages present in my file.' That way, though they can add things and you can't do anything about that, they cannot remove anything after you've seen it. Just a thought. ;>)
