Do you keep an ongoing tally of visits?

I posted this in another thread, but I am curious.

Do any of you have any computer programs or anything that enables you to keep track of the number of visits each child has? I have so many frequent fliers, I'm sure teachers and parents would be shocked to know exactly how often these kids are in my office. My only record is my handwritten daily logs, and it would be impossible to go through and count them all.

I need to figure out a way to keep an ongoing tally for next year...

maybe make a spreadsheet of each kid and update it from your log each afternoon? then you have small manageable amounts to do each day instead of going through all of them at once

the program i use (health master) gives you their running number of visits next to their name when you are putting in an office visit. If you click an icon, you can pull up another screen that will list all of their visits (as the office visit tally is only for office visits - doesn't count if you have a daily med or blood glucose). I believe you can run a report for get a list of students with high visits. You can also run a report for office data - broken down by c/o by day. It astounded my principal when i told her i had over 2000 office visits for the year last year.

I use MMS and can break it down by student, or type of visit....It also allows me to add new conditions. It came with a predefined set of reasons for visit but I have expanded it a lot. I agree with student987, I would use a spread sheet and then you can sort by as many cloumns as you want to. Good Luck!

I don't do this right now but have aplan for next year. I will have a clipboard that requests each student to sign into the clinic, when they arrive. Thinking this may help me keep track of the number of visits from my clinic cats... Especially since I don't write down everytime they come in for a bandaid or a "much needed" ice pack

The existing system is to write down each student that comes in, time in/time out, complaint, treatment and whether we called home, sent home, retruned to class, etc.. This is on a clip board. I am moving us towards using the electronic system we have in our attendance system and plan to be up and running with it 100% by start of next school year. If we didn't have a system I would use Excel to create a spreadsheet because being able to show Jimmy's mom that he came to my office 136 times this year for every minor complaint he could think of is invaluable!
